Dear EN2017 Presenter,
Thank you for agreeing to present at EN2017! To ensure that your preparations go smoothly and your participation is both productive and enjoyable, please take careful note of the following instructions and key dates.
Registration
If you have not already done so, please register for EN2017 now at https://www.exchangenetwork.net/en2017.
Key Dates
- Your Draft PowerPoint is due to your Session Moderator by March 17
- Your Moderator’s comments on your Draft PowerPoint are due to you by March 31
- Your Final PowerPoint is due to ECOS’ Eddie Ortiz by April 19
Session Planning
Your Session Moderator will convene at least one session planning call in March. During this call, you will
- Get to know your Session Moderator and fellow Session Presenter(s);
- Discuss the session’s theme, content, timing, and transitions;
- Discuss development and submittal of your Draft and Final PowerPoint presentations; and
- Learn about the session’s room setup, audio-visual equipment, and live webcast (and why your Final PowerPoint is due a month before EN2017).
Each presentation in Concurrent Sessions 1-12 lasts 30 minutes. You should plan on 20 minutes for your presentation and 10 minutes for questions and answers. One of your Session Moderator’s roles is to start on time and stay on schedule. Because audience members move among session rooms and webcast viewers switch among session room live feeds, reliably starting each presentation on the half hour maximizes audience participation and information exchange. (Note that General Session presentations and panels do not follow the 20 minute/10 minute approach.)
If you plan to conduct a live demonstration, you will need to bring your own laptop. Hardline internet connections are provided at the podium for live demonstrations. You should arrive at the Session at least 20 minutes early to connect your laptop and ensure that the demonstration performs correctly.
No other presenters will need to bring a laptop. You will be provided with a wireless remote to advance your slides from the stage. You do not need to bring a copy of your PowerPoint on a thumb drive.
Please send your session Moderator a very short bio to assist with your introduction.
PowerPoint Presentations at EN2017
Because all General and Concurrent Sessions at EN2017 will be webcasted and archived, all presenters must use the standard EN2017 PowerPoint presentation template, which is available here. The EN2017 PowerPoint template is pre-formatted for widescreen display onsite and widescreen webcasting. When beginning to develop your PowerPoint, you are strongly encouraged to start in widescreen (16:9 aspect ratio) only. Past experience has shown that converting PowerPoints first developed in other aspect ratios to widescreen format creates significant formatting issues, resulting in poor display on site and on the webcast.
All Final PowerPoints are due to Eddie Ortiz at eortiz [at] ecos.org by April 19. Your PowerPoint will be converted to PDF format and posted to the EN2017 Agenda at https://www.exchangenetwork.net/en2017-agenda/. Please review the Agenda to ensure that your name, affiliation, and presentation title(s) match your final submittal and that your PowerPoint displays correctly.
Because only “Final” presentations will be posted to the EN2017 Agenda, please do not submit “draft” or “almost final” presentations to Eddie in April.
Your Final PowerPoint will be pre-loaded onto the webcasting system by ECOS’ webcast contractor before you arrive in Philadelphia; therefore, you do not need to bring a copy of your PowerPoint on a thumb drive to the Meeting.
Preparing Your Draft PowerPoint Slides
When preparing your PowerPoint slides, please:
- Start with the EN2017 PowerPoint template. Slide 1 must include the final title of your presentation, your name and affiliation, and any co-presenters’ or authors’ names and affiliations.
- Develop and include a good, solid Abstract on Slide 2. Slide 2 is designed to help EN2017 attendees choose which of the 3 concurrent presentations they will attend. Attention-grabbing Abstracts will draw attendees to your presentation and Session!
- Ensure all subsequent slides are in widescreen (16:9 aspect ration) format. Email Eddie Ortiz at eortiz [at] ecos.org if you need assistance.
- Develop slides that are simple, not overly complicated or busy, and have plenty of “white space.”
- Minimize reliance on text to deliver your message. Slides should support and compliment the narration, not make the narrator superfluous. The best PowerPoint presentations are virtually meaningless without the presenter’s narration.
- Use high-quality graphics and tables; and avoid low-res photos, complicated animation, and “Clip Art” that could undermine the professionalism of your presentation. Remember that your presentation is being webcasted live and archived on the EN Website indefinitely.
